Privacy notice

1. Controller

Ömer Kaşıkcı, Ömer Kaşıkcı Şahıs Şirketi (brand: PlotDossier), Musalla Mah. 1065 Sk. No:8/1B, 35930 Çeşme/İzmir, Türkiye · info@plotdossier.com · +90 532 175 3389. We are based in Türkiye. Because we offer services to companies in the EU, the EU General Data Protection Regulation (GDPR) applies to that processing (Art. 3(2) GDPR), in addition to Turkish data protection law (KVKK).

2. EU representative

An EU representative under Art. 27 GDPR will be designated. Until then, please contact us directly at info@plotdossier.com.

3. Visiting this website

When you open these pages, the hosting provider processes technical data: IP address, date and time, page requested, referrer and browser information (log files). This is needed to deliver the pages and to keep them secure (Art. 6(1)(f) GDPR). Log files are deleted after 30 days at the latest. Hosting: Cloudflare Workers (Cloudflare, Inc., 101 Townsend St, San Francisco, CA 94107, USA; participant in the EU-US Data Privacy Framework) . This website uses no cookies, no analytics, no advertising and no third-party fonts or scripts.

4. Trial form, e-mail and WhatsApp

Our form does not send or store anything on our server; it only opens your own e-mail app or WhatsApp with the text you entered. When you write to us, we process your name, contact details, message and attached files to answer you and, where applicable, to prepare a quote or contract (Art. 6(1)(b) GDPR). E-mail: forwarded via Cloudflare Email Routing to a Gmail mailbox (Google). If you use WhatsApp, WhatsApp/Meta processes your number and metadata under its own privacy policy.

5. Screening orders

For orders we process contact and invoicing data (Art. 6(1)(b) and (c) GDPR) and the data you send for the job: plot coordinates and boundaries, plot names and – if included – names of producers. When we screen producer data on behalf of an operator, we act as a processor; a data processing agreement under Art. 28 GDPR is available on request. Please send only the data that is needed.

6. Open satellite data

To read open satellite and forest data we send map extents (coordinates, never names) to public data servers: Element 84 Earth Search on Amazon Web Services (Sentinel-2), Google Cloud Storage (Hansen Global Forest Change files), Source Cooperative (JRC forest map) and ESA WorldCover on Amazon Web Services.

7. Recipients

We do not sell data. Recipients are limited to the providers named above, our accountant for invoices, and authorities where we are legally obliged.

8. Transfers to Türkiye and other third countries

We work from Türkiye, for which no EU adequacy decision exists. Transfers are necessary to answer your request and to perform the contract you asked for (Art. 49(1)(b) and (c) GDPR). For processing on behalf of business customers we agree on the EU Standard Contractual Clauses.

9. Retention

Enquiries without an order: deleted after 12 months. Invoices and business records: as long as Turkish commercial and tax law requires (generally 5–10 years). Screening files and audit logs: 5 years, matching the operator’s record-keeping duty, unless you instruct us to delete or return them earlier. Trial files: deleted after 3 months if no order follows.

10. Your rights

You have the right of access, rectification, erasure, restriction, data portability and objection (Art. 15–21 GDPR) and may withdraw consent at any time for the future. You can complain to a data protection supervisory authority, in particular in the EU country where you live or work. Contact: info@plotdossier.com.

11. Security

Files are kept in access-protected storage and transferred over encrypted connections (TLS). Satellite processing runs on our own systems; your files are not used for any other purpose and not for training any models.
